Document Upload and Handling
Purpose, formats, private storage and retention of the files the Client uploads on the site or sends to Access FDA.
Draft pending legal review. This text is not yet the final, binding version.
Purpose
The documents you upload in the site’s forms or send to Access FDA (labels, technical sheets, notices from authorities, invoices and similar documents) are used exclusively to evaluate your request and, where applicable, provide the contracted service.
Formats and limits
- Accepted formats: PDF, JPG, PNG, DOC/DOCX and XLS/XLSX.
- Technical limit currently configured on the site: 10 MB per file, up to 5 files and 25 MB in total per request. Limits are shown before uploading.
[Pending: exact file size and number limits.]
Files are validated by type and size. Executable files and files whose content does not match their extension are not accepted.
Storage and access
- Files are stored privately and linked to your request.
- Only authorized Access FDA staff can access them; when appropriate, through temporary links.
- Files are not published or indexed by search engines.
- Client labels and documents are never used as public material or as examples on the site.
Information you should not send
Send only what the service needs. Please do not include sensitive personal data or information unrelated to your request. If the service requires formulas or trade secrets, we will request them under the Mutual Non-Disclosure Agreement (NDA).
Rights over the files
By uploading a file, you state that you hold the rights or authorizations needed to share it with Access FDA for the stated purpose, and you accept the corresponding responsibility.
Retention
Files are kept according to the Comprehensive Privacy Notice: for the duration of the relationship and, when necessary, up to a general maximum of five years after it ends. They are deleted earlier when no longer needed, unless a legal obligation requires keeping them longer.
Security
We apply reasonable measures to protect the files. No system is infallible, so we cannot promise absolute protection.
